Review date and method
Reviewed 29 August 2026. We traced three repeatable experiment-record tasks against official Microsoft, Notion, and Google documentation and against the current Hypotize record schema and MCP tool definitions. This is a desk workflow comparison, not a speed benchmark or a hands-on test inside vendor accounts. Prices are omitted because licenses, plans, and existing contracts vary.

Start with the lightest system your volume can support
Spreadsheet
Best for: Low experiment volume, one clear owner, and a team already comfortable with rows, columns, and formulas.
Where it wins: Fastest start, flexible analysis, familiar bulk editing, and no new workflow if the team already uses it.
Notion database
Best for: Teams that want typed properties, database views, and a page of notes behind every experiment.
Where it wins: Flexible structure and presentation without reducing every experiment to one row of visible cells.
Shared document
Best for: A few narrative tests where context matters more than filtering, scoring, or pipeline reporting.

Three repeatable tasks
What each record design requires in practice
1. Capture a test before it starts
Store a hypothesis, metric, owner, framework, status, and evidence location.
- Spreadsheet: one row works if the columns and allowed values already exist.
- Notion: properties hold the structured fields and the database page holds longer context.
- Shared document: a template captures everything, but authors can omit or rename fields.
- Hypotize: these fields are part of the experiment record; framework and project context are explicit.
2. Move it from idea to outcome
Change state, preserve the decision trail, then attach result, evidence, learning, and next step.
- Spreadsheet: edit status and outcome cells; validation and history depend on workbook design and storage.
- Notion: update properties and page content; views can reflect the new status.
- Shared document: edit the section or checklist; there is no shared pipeline unless the team builds one.
- Hypotize: lifecycle transitions and outcome recording are separate defined operations.
3. Reuse a learning in the next decision
Find prior failed or inconclusive tests about the same funnel step and read their evidence.
- Spreadsheet: filters and search work when terms and columns stayed consistent.
- Notion: database search, filters, and views work when properties were populated consistently.
- Shared document: full-text search helps, but the result set is not a typed experiment list.
- Hypotize: the learning list can filter final outcomes and return evidence, learning, and next steps to the web app or an authorized MCP client.

Migration and switching cost
Map the record before moving it
The expensive part is rarely copying rows. It is deciding which source labels mean the same thing, filling required fields, separating outcome from learning, and checking evidence links. Keep the original file as the rollback source until the imported records have been reviewed.

When the spreadsheet is enough
Four tests a year do not require a dedicated platform
If one person owns the record, the team runs roughly four experiments a year, and a consistent row already captures the hypothesis, result, evidence, and learning, a spreadsheet is sufficient. Its familiarity and direct control are advantages. Move only when inconsistent fields, lifecycle ambiguity, repeated tests, permission needs, or retrieval work create a real cost.
